📊 Frequently Asked Questions
Q: How is this better than using a Kanban board in Google Sheets?
A: Sheets are fine until you want drag-and-drop, Gmail integration and real-time collaboration. Kanban Tasks gives you native-feeling boards, tasks from email, due-date views and comments without any formulas or manual maintenance.
Q: How does Kanban Tasks compare to Trello, Asana, ClickUp, etc.?
A: Those are standalone apps. Kanban Tasks lives where you already work – inside Gmail and Google Workspace. No extra logins, no separate UI to learn, and your email and boards stay in the same context.
Q: Does Kanban Tasks work with Google Tasks?
A: Yes. You can import your Google Tasks into your Kanban board with a one-way sync. Keep using Google Tasks if you want; Kanban Tasks just gives you a better, visual interface on top.
Q: Can I share boards with my team?
A: Yes. On the Teams plan you can create team boards, invite colleagues, assign tasks and collaborate in real time. Personal boards are just for you and stay free forever.
Q: Do I need to be “technical” to use this?
A: No. If you can use Gmail, you can use Kanban Tasks. It’s the same style of interface and works directly from the sidebar.
Q: Can I use this for both personal and work tasks?
A: Absolutely. Set up separate boards for personal life, client projects, internal work – whatever you need – all in one place.
Q: Do I need the Sales CRM plugin as well?
A: Only if you also want a simple CRM. Kanban Tasks stands on its own for task and project management. If you want to track leads and customers in Gmail too, install the separate “Sales CRM” plugin and run them side by side.

- Been using Tooling Studio for a few weeks now and it’s become part of my daily workflow. I like that it sits inside Gmail, so I don’t have to jump between tools just to track tasks or follow-ups. The Kanban boards and CRM feel simple but actually useful, not overloaded with features I don’t need. It took a bit to get used to doing everything inside the sidebar, but once it clicks, it saves a lot of time. Definitely recommend if you’re trying to stay organized without adding another separate tool.

- I thought that this was going to sort my emails into a kanban board like view, not the tasks. Looks like a good tool, just not for my use case

- At start It was good. But after I tried to close and reopen my gmail, I couldn't find my Kanban anymore. It's not where the images shows and I can't find it. The integration with Tasks is only one way. When you update some task, it's not going to sync with your google tasks anymore.

- I work in demand generation with a small team, and Tooling Studio has been a big win for us. Most of our work lives in Gmail and Google Drive already, but until now we were juggling too many apps. With Tooling Studio, we keep everything in one place. That alone saves us a ton of context switching and makes it easier for me to see what’s moving and what’s stuck. Onboarding was fast too. I shared a board with someone new to the team, and they were up to date right away. No big setup, no “where do I click” moments. So if you’re running growth or demand gen and your team already lives in Google Workspace, this tool makes life a lot simpler. It cuts the clutter so you can focus on the work that actually drives results.

- Great Tool! helps us structure our workflow! We recently started using this add-on, and it provides an easily accessible feature to view the company's short- and mid-term objectives. Moreover, one can easily assign tasks to a team member and break them down into achievable steps, so it is easy to understand the progress to date. Great!!!🚀

- This is a really useful feature within Google Workspace. I use shared Kanban Task Boards for managing and tracking progress in international, complex, multi-stakeholder projects. I also use it for supporting 1:1s within my team - ensuring we have a clear structure for conversations and tasks are successfully progressed and completed. I really like the seamless integration with other Google Workspace platforms such as Google Docs and Sheets. This makes collaboration and task management a breeze.

- I work as the lone tech at a small US public school district which is, of course, running on Google. I've been a google admin for 15 years. I've been doing project management for 30 years. I found Kanban boards about a decade ago and fell in love. The system works the way my brain does. I've been looking for a Kanban board tool that is tightly integrated with Google for years and have finally found one that actually works. Tooling Studio's Kanban board has implemented most of the functionality I am looking for. The UI is great ... clean and easy to follow. The dragging and dropping of tasks and lists is really nice. I don't need the team tools so I haven't played with them. Since day 1 of installing this extension the developers have been in contact, asking questions, making sure I was getting along ok and asking if I had any questions or suggestions. They respond pretty quickly to all of my inquiries. It is a problem for me that there is no mobile app available, but they assure me they are working on one so I am not going to take a star away for that.

- Good value, moving in the right direction and generally works. However, specific emails drafted and associated with tasks listed in kanban boards do not open the specific email, it simply opens gmail inbox in a new tab leaving you to go looking for the email wasting time - not helpful.

- This app can be, and probably will, the most efficient and practical task tool for those like me who like to have everything in the gmail inbox.

- Alright, let's get personal. I've been wrestling with project management for, well, let's just say a while. Spreadsheets? Chaotic. Email threads that spiral into oblivion? Been there, suffered through that. So, when I stumbled upon Tooling Studio's Kanban Boards, I was cautiously optimistic. Honestly, the first thing that struck me was how *clean* it was. I'm not a designer, but I know when something just *works*. I didn't have to spend hours figuring out where everything was. I just jumped in and started creating my boards. I'm a bit of a visual person, so the drag-and-drop functionality was a godsend. It's almost... therapeutic? Moving those cards through the workflow just *feels* satisfying. Suddenly, I could see where everything was at a glance. No more digging through endless lists. Now, I'm not running a massive corporation. My projects are usually smaller, more personal. But even then, I found the features surprisingly useful. The checklists within the cards? Perfect for breaking down tasks into manageable steps. The due dates? Kept me on track (mostly!). What really made a difference for me was how easy it was to customize. I could create columns that perfectly matched my workflow, instead of trying to force my projects into some rigid, pre-defined structure. It felt like the board was adapting to me, not the other way around. There was this one project, a creative one, that was just a tangled mess in my head. I threw it into a Kanban board, defined my stages, and boom! Clarity. I could see the whole process laid out in front of me, which made it so much less daunting. Of course, it's not perfect. There were a couple of times I wished I had a monile app Overall, Tooling Studio's Kanban Boards have become my go-to tool for managing just about everything. It's simple, it's powerful, and it just makes my life easier. And honestly, that's all I really want from a project management tool. It's helped me bring order to my chaos, and for that, I'm genuinely grateful.

- I’ve been using this Kanban Boards, and I absolutely love it! The user interface is clean and intuitive, making it feel familiar and easy to navigate right from the start. One feature that really stood out to me was the ability to import tasks from Google Tasks. It made the migration process seamless and saved me so much time. If you’re looking for a Kanban app that’s user-friendly and efficient, I highly recommend it

- I absolutely LOVE Tooling Studios’ Kanban Board extension! If you’re like me and need a simple, distraction-free way to keep track of tasks just using google environment without opening another app, this is perfect
- Marion Stoop
- I love that it's showing directly in the main menu in my Gmail interface!! The real-time sharing feature works really well, making it easy to keep the whole team aligned without constant updates. Turning emails into tasks, using drag and drop, is simple and saves a lot of time when working from Gmail. One thing I’d love to see, is push notifications to stay on top of updates more easily.

- I was looking for an alternative to a couple of more commercial Gmail-based Kanban boards and are very happy to have found this one. It's simple, the UI is clear and it just works.

- Works slow but it's a little slow to load & servers sometimes crash for a few hours - not ideal if you have a team of people.

- As someone who manages multiple teams across different projects, Kanban Tasks has been a game-changer for our workflow. The seamless integration with Google Workspace means we no longer juggle between multiple apps—everything we need is right there. Assigning tasks, setting due dates, and collaborating on shared boards has never been smoother. The real-time updates keep everyone on the same page, reducing miscommunication and boosting productivity. Highly recommend this extension to any team looking to streamline their processes!

- This extension has become essential to my daily workflow. I love how seamlessly it integrates into my existing Google Workspace, no need for extra tools, and everything I need is right there. The shared boards are incredibly useful for collaborating with my team, and I really appreciate the notifications when a colleague assigns a task to me. The due date functionality, along with the clear overview of what’s urgent, keeps me organised and on top of my priorities. Highly recommend this extension for anyone wanting an intuitive, visual approach to task management right in Google!

- This plugin has been my go-to tool for managing and organising my work for a while now. The natively integrated boards are incredibly efficient—just drag an email to create a task, and manage all the details right within my Google Workspace (where I spent quite a bit of my time anyways). With the latest update, which includes shared boards and task assignments, I’ve integrated this into the product teams I’m working with. No more need for third-party tools! I’m super excited about the upcoming CRM integration. Thanks!

- I've been testing this plugin since its inception. Love how this integrates with the Google mail interface. Finally no context switching to other tabs and tools. The extension has been in development for a couple of months and I've seen great new features been delivered: task, team sharing/boards, dragging e-mails to task lists and it has an amazingly simple feature to show your current priorities called "getting work done". 5 out of 5 stars!

- I've been hunting for a good-looking Kanban for Google for a LONG time. Mostly I've been using Trello, which is great. But having something built into my Google workflow is just brilliant. It's early days, and the app is free at the moment, so it's easy to recommend trying it. And the developer is open to feedback (built into the app!) so let him know what you're missing.
- Anuraj SL
- This extension is a game-changer! My Google Tasks are now a visual Kanban board, making it easy to visualize and prioritize. Drag-and-drop keeps me organized and motivated. Highly recommend!
